  • Weatherproof roof, exterior walls, windows, and doors in good repair
  • Working locks on all exterior doors; window locks on ground/accessible floors
  • No mold, vermin, or pest infestation; extermination service if needed
  • Trash removal and recycling service in place
  • Appliances clean, in working order, owner's manuals available
  • HVAC filter changed; furnace serviced within last 12 months
  • Tenant given landlord/manager contact and 24-hr emergency phone
  • Property insurance (landlord policy) active; renters-insurance requirement disclosed if applicable
  • Fair Housing posting / non-discrimination policy on file
  • Confirm property is 2–4 units (IRC residential). For 5+ units, use a commercial multifamily checklist instead.
  • Separate written lease per unit; each unit's occupants individually screened
  • Each unit has its own unique address / unit designator on the lease and at the door
  • Per-unit utility metering documented; if shared, written allocation method disclosed in lease (CRS §38-12-401)
  • Master property insurance policy covering all units; liability ≥ $1,000,000
  • 1-hour fire-rated wall/ceiling assembly between dwelling units verified or noted as legacy condition
  • Self-closing, fire-rated doors at any common-area access between units (if applicable)
  • Smoke alarms interconnected within each unit; CO alarm within 15 ft of sleeping areas in EACH unit
  • Common-area smoke and CO alarms in shared hallways/stairwells (if any)
  • Egress windows / second means of egress verified in every sleeping room of every unit
  • Common-area lighting on photocell or timer; stairs and walkways illuminated at night
  • Handrails on all interior and exterior stairs with 4+ risers; guardrails on decks/landings >30"
  • Shared trash & recycling capacity sized for number of units; collection day documented
  • Snow / ice removal plan for shared walkways and parking
  • Off-street parking allocation per unit documented in lease (or street-parking disclosure)
  • Mailbox / package delivery setup per unit (USPS-approved cluster box if applicable)
  • Pest control service on shared building; treatment records kept
  • Annual HVAC service per unit; shared boiler/water heater serviced annually if applicable
  • Backflow preventer tested annually if building has irrigation or shared water service
  • Lead-based paint disclosure to EVERY unit if building was built before 1978
  • Radon test results on file (one test per ground-contact unit recommended)
  • Posted at common entry: owner/manager 24-hr contact, trash day, quiet hours, parking rules
  • Zoning confirmation that multi-unit use is permitted at the address
  • Certificate of Occupancy on file reflecting the current number of dwelling units

Important — Building Size

This checklist covers 2–4 unit residential buildings (duplex, tri-plex, four-plex) regulated under the International Residential Code (IRC). Buildings with 5 or more dwelling units fall under the International Building Code (IBC) as commercial multifamily and require additional items not on this sheet (commercial fire sprinklers, NFPA 13/13R, ADA / Fair Housing Act accessibility, commercial waste service, elevator certification if applicable). Do not use this form for 5+ unit properties.
